At a glance

Active Etsy Listings for OOS SKUs on BC counts Etsy listings that are still live and buyable for SKUs that are out of stock in your BigCommerce (BC) source-of-truth catalogue. This is a cross-channel card and a top-priority sync gap. When BC shows zero stock but the Etsy listing stays open, a buyer can place an order you cannot fulfil. That forces a cancellation, which damages the customer experience and, critically, counts against your Star Seller metrics, putting the badge at risk. Any value above zero is a live fulfilment hazard. The goal is to keep this card at zero by closing or zeroing the Etsy listing the moment BC stock runs out.

Calculation

Vortex IQ matches each active Etsy listing to its SKU in the BigCommerce source-of-truth catalogue and checks the BC stock level. A listing is counted when it is active and buyable on Etsy while its BC SKU is at or below zero available stock. The result is a real-time count, so it updates as soon as BC stock changes or an Etsy listing is closed. Because BC is the canonical stock record, BC availability is treated as authoritative for this check.

Worked example

Illustrative numbers. On 14 Jun 26 the card jumps from 0 to 3 after a popular handmade candle sells out across all channels on BC but the Etsy listings stay open. Within the hour two orders land on Etsy for stock that does not exist. The operations lead immediately sets those Etsy listings to zero quantity and pauses them, then issues apologetic cancellations and offers a restock notification, accepting the Star Seller hit on those orders as unavoidable. To stop it recurring, they open Vortex Mind to trace why BC stock-out did not propagate to Etsy, then use Ask Viq to ask “which Etsy listings are still live for sold-out BC SKUs right now?” in plain English to sweep for any remaining exposure.

Reconciling against Etsy Shop Manager

Where to look in Etsy Shop Manager: Open Shop Manager, then Listings, and confirm the flagged listings are still active with quantity above zero. Then open the same SKU in the BigCommerce control panel catalogue (Products) and confirm the BC stock level is zero. The mismatch (active on Etsy, zero on BC) is exactly what this card flags, with BC stock treated as the source of truth. Why the Vortex IQ value may legitimately differ:
ReasonDirectionWhat to do
Sync lag. A BC stock-out may not have propagated to Etsy by the last refresh.Vortex IQ may lag or leadRe-run the stock sync and re-check; treat any non-zero value as urgent regardless.
Separate Etsy-only inventory. A SKU stocked independently for Etsy is not truly OOS.Vortex IQ higherExclude genuinely Etsy-only inventory from the BC stock check in your profile.
SKU match gaps. A listing without a clean SKU link to BC may be miscounted.VariableFix the SKU mapping so the listing pairs to the correct BC product.
Cross-connector reconciliation: Open Vortex Mind to trace why a BC stock-out failed to close or zero the matching Etsy listing in time.

Known limitations / merchant FAQs

Q: Why is this card so high priority? Because it predicts orders you physically cannot fulfil. Each one becomes a cancellation, which harms the buyer and counts against Star Seller metrics. Keeping this card at zero protects both reputation and the badge. Q: I keep some stock just for Etsy. Will that show as a false positive? It can, if the SKU is OOS on BC but you hold separate Etsy inventory. Mark genuinely Etsy-only SKUs in your profile so the BC stock check does not flag them. Q: Why does my Etsy Shop Manager show a different number? This card compares Etsy against BC in real time, so sync timing is the usual cause of a gap. A BC stock-out may not have reached Etsy yet, or an Etsy fix may not be in the latest refresh. Confirm the SKU in both systems and act on any non-zero value immediately. Q: Can I customise the alert threshold? Yes. Sensitivity thresholds are configurable per profile in the Sensitivity tab. Because the fulfilment risk is severe, most sellers keep the trigger at greater than zero so any single exposed listing raises an alert.
