At a glance
Total Listings is the full count of every listing your Etsy shop holds, spanning active, expired, draft, and sold-out states as applicable. For an Etsy seller it is the headline measure of catalogue breadth: more well-made listings means more entry points into Etsy search, since each listing carries its own title, 13 tags, and attributes. A healthy number that grows steadily with fresh, on-brand product is good. A number that has stalled, or that hides a large pile of expired and draft listings doing no selling work, is a sign the catalogue needs attention. Because Etsy listings expire and renew on a 4-month cycle at $0.20 each, the total is also a quiet driver of fixed listing cost.
| What it counts | The number of listings in the shop across all states (active, expired, draft, and sold-out where applicable). |
| Sample type | Backend API data from Etsy, refreshed on the standard data refresh. |
| Why it matters | Catalogue breadth shapes search visibility, listing-fee cost, and how much merchandising surface you have to work with. |
| Reading the value | A single count. Read it alongside the active-only count to see how much of the total is actually selling. |
| Currency | Number (count of listings). |

Calculation
Vortex IQ counts the listings returned for your shop and reports the total at the moment of refresh. The figure includes listings in non-active states (such as expired and draft) where Etsy exposes them, which is why it is usually higher than the active-only listing count. Because it is a real-time snapshot, the number can move whenever you publish, expire, renew, or delete a listing. No averaging or windowing is applied.Worked example
Illustrative numbers. On 14 Jun 26 a homeware seller sees Total Listings at 480, while the active-listings card reads only 360. The 120-listing gap is mostly expired stock the seller forgot about. They open Shop Manager, bulk-renew the 40 best-selling expired listings for $0.20 each, delete 50 seasonal items that will not return, and move the rest to draft for a refresh. Total Listings settles at 430 with a cleaner active base. To understand why so many had expired unnoticed, the seller opens Vortex Mind to trace the renewal pattern, then uses Ask Viq to ask “which expired listings sold best last year?” in plain English before deciding what to bring back.Sibling cards merchants should reference together
| Card | Why merchants reach for it |
|---|---|
active-listings | The selling subset of the total; the gap between them shows dormant catalogue. |
listings-expiring-soon | Flags listings about to drop out of the active count on the 4-month cycle. |
stale-listings-180d-no-update | Surfaces listings within the total that have gone untouched and may be dragging quality. |
out-of-stock-listings | Identifies listings that count toward the total but cannot convert. |
listing-quality-score | Tells you whether catalogue size is matched by catalogue quality. |
Reconciling against Etsy Shop Manager
Where to look in Etsy Shop Manager: Open Shop Manager, then Listings. The state filters along the top (Active, Draft, Expired, Sold Out, Inactive) let you tally each bucket. Add the buckets together to compare against the Vortex IQ total, since the Active tab alone will read lower. Why the Vortex IQ value may legitimately differ:| Reason | Direction | What to do |
|---|---|---|
| State scope. Shop Manager defaults to the Active tab while Vortex IQ counts all states. | Vortex IQ higher | Sum all state tabs in Shop Manager before comparing. |
| Refresh timing. A listing published, renewed, or deleted after the last refresh is not yet reflected. | Variable | Re-check after the next standard data refresh. |
| Draft and inactive handling. Drafts and inactive items may be excluded from some Shop Manager views. | Variable | Confirm which state tabs you included in your manual tally. |
